An exciting opportunity has arisen for a Referrals Coordinator to join our friendly and forward-thinking team.

The Beeches provides support and care for children and young adults with learning difficulties and challenging behaviours, promoting independence and choice. The successful candidate will be responsible for all referral duties.

Referral Coordinator duties include:

  • Managing the referral process from inquiry through to admission of residents in a timely and effective manner, through close liaison with funding authorities and external placements.
  • Planning and monitoring the day-to-day receipt and response to referral inquiries, and placement-related queries.
  • Taking primary responsibility for the coordination and management of placements, both internally and with external agencies.
  • Negotiating with all placing authorities to ensure that The Beeches receives the most competitive rates.
  • Proactively seek to increase fees where and when able.
  • Ensuring an Individual Placement Agreement for each young person at The Beeches is in place and current.
  • Developing effective working relationships with local authority placements officers, commissioners, social workers, and social work teams.
  • Managing and prioritising both emergency and planned placements.
  • Ensuring risk assessment information accompanies all referrals made, and that all relevant information is shared with appropriate members of The Beeches team.
  • Managing and maintaining The Beeches’ placement data collection system.
  • Liaising with Care Home Managers and Head of Operations regarding potential placements.
  • Ensuring events relating to planned admissions are well communicated to all relevant personnel.
  • Managing the process of applying for funding for additional observation, in line with the current observations protocol.
  • Developing effective marketing strategies which should include visiting local authority placements teams, sending marketing emails, and advertising vacancies.
  • Undertaking other duties and responsibilities as may be reasonably required.
  • General office admin tasks.

The ideal candidate would have:

  • Previous experience in referrals management.
  • Administrative experience with good knowledge and experience in using Microsoft Word, Excel, and Outlook Office, as well as good telephone manners.
  • Excellent verbal, written, and numeracy skills.
  • Excellent organisational skills including the ability to manage time and prioritise effectively.
  • Ability to work independently and on your own initiative within specified guidelines or processes.
  • Well-developed negotiation and interpersonal skills, and the ability to deal with colleagues and placement authorities at all levels.
  • Ability to work appropriately with confidential and sensitive information.
  • Knowledge of Ofsted/CQC desirable.
